RFQ Information That Prevents Delays
The fastest way to receive a useful quotation is to send complete technical and commercial information:
- drawing number and revision;
- material family and required grade or source;
- ID, OD, wall, length and tolerances;
- operating temperature, voltage, pressure, chemicals and movement;
- required tests, sampling plan and inspection report;
- annual demand, order quantity and sample quantity;
- packaging, labeling and traceability needs;
- ship-to country, requested Incoterm and target date.
If the tube mates with a ferrule, pin, bolt, winding, terminal or another component, include that mating geometry or send representative parts for fit review.
Samples and Approval Boundaries
A sample should have a stated purpose. A dimensional sample can confirm fit, but it does not prove chemical life, dielectric endurance or pressure capability. A sample approved for appearance may not define the full production tolerance. WELLELE recommends recording exactly what was tested, under what conditions and which requirements remain for customer validation.
For custom tooling or a new process window, the approval package may include a signed drawing, dimensional results, images, material document and agreed deviations. The final package depends on the quotation and purchase order.
Export Documents and Compliance Information
Common commercial shipment documents may include a quotation or proforma invoice, commercial invoice, packing list and transport document. Certificate of origin, material declarations, inspection reports or other destination-specific documents must be requested and confirmed before the order because availability, issuing cost and lead time vary.
RoHS, REACH, UL, ISO, SGS, FDA or medical-related statements are not interchangeable. A buyer should verify the legal entity, factory, material, product, report number, issue date and scope shown on each document. WELLELE will provide only documents available and applicable to the quoted item.
Packaging and Shipping
Tubing can be sensitive to crushing, ovality, contamination, moisture, mixed sizes or cut-end damage. Packaging is therefore reviewed as part of the specification. Options may include coils, straight lengths, cut pieces, inner bags, caps, dividers, labeled bundles, cartons or pallets, subject to product and order requirements.
International delivery may be arranged by courier, air or sea depending on size, urgency, cost and destination. The selected Incoterm should be stated on the quotation and purchase order using the named place. Import duties, taxes and local clearance responsibility follow the agreed commercial term and local rules.
Communication Across the Order
One responsible commercial contact should maintain the quotation, drawing revision, approvals, order status and shipment records. Engineering questions are logged against the part rather than handled as isolated chat messages.
